Thank you for choosing Moving Waves! We’re delighted to have you on board. To help you get the best out of your Moving Waves experience and to understand our responsibilities to you and your responsibilities to us, please read the following terms and conditions. The language used should make these terms and conditions as clear as possible.

COMMUNICATION1.1 Moving Waves communication is made via email, phone and social media. Please ensure you follow our social media platforms for recent updates and continue to check spam/junk email folders.
1.2 Please let us know if you’d like to be added in the Academy parents’ WhatsApp group. This is not a social group - its purpose is to provide a form of more instant communication between academy teachers and parents.
2. PAYMENT SYSTEM
2.1 Signing up through our website and setting up a subscription is the only registration and payment method Moving Waves will accept. We are no longer able to accept cash, paypal or BACS payments.
2.2 The subscription system ensures everyone pays on time as previously, 70% of fees were paid very late.
2.3 Our academic year runs for 38 weeks of classes. Rather than charging you differently each month, your fees are pro-rated: the total annual cost is divided evenly across 12 equal monthly payments. This means your monthly payment is a fixed amount and does not correspond to the number of classes that happen to fall in that particular month — some months have more classes than others, and no classes run in August, but the payment stays the same throughout the year.
2.4 In order for a place to be kept open for your child in our classes, payment is required monthly, by subscription only.
2.5 Failure to make payments on time may result losing your place in chosen class(es). If you are having trouble paying, please speak to us and we will do our best to help.
2.6 Fees are reviewed annually. We reserve the right to make changes to these amounts. You will always be given notice via email before any changes apply to your account.
2.7 Fees and event payments such as end-of-year shows are non refundable. Event participation is not compulsory for any child.
2.8 The annual membership fee of £25 is collected automatically from your account within 5 days of signing up and annually thereafter. This fee covers costs not included in your regular class subscription, such as personalised termly reports, insurance, staff training, event planning, enhanced customer service, ongoing administrative support and more.
3. CANCELLING YOUR CHILD’S PLACE 3.1 Once your child joins us, their place is theirs to keep — there's no need to re-register each year, and you won't lose your spot to someone else, even on classes with waiting lists. Your subscription with us simply continues each academic year, so there's nothing more for you to do, unless you'd like to make any changes to your classes or you're cancelling.
3.2 Should you wish to cancel your child's place in a class, we require 31 days' written notice via email (
info@movingwaves.org). You will be asked to complete a short form to confirm your cancellation. One final monthly payment will be due within the notice period.
3.3 The 31-day notice period begins on the date of your child's last class — not the date you notify us. Because payments are pro-rated across 12 months (see 2.3), this means one further monthly payment will usually be taken after your child has stopped attending, to cover the remainder of the notice period. This helps us plan class sizes, timetables and teacher hours fairly, while giving your child a smooth finish to their time with us.
3.4 If a child attends their classes up to the end of term in July, the August payment is still payable to clear the balance - even though no classes run that month - in line with our pro-rated payment system.
3.5 Please note that it is your responsibility to let us know if you'd like to cancel — simply stopping attendance doesn't count as cancellation and won't stop payments. We're unable to offer refunds where notice is provided late, so please get in touch as early as you can.
3.6 Classes are only cancelled in exceptional circumstances and this happens very rarely. In case we have to cancel a class due to an emergency or not being able to find cover, substitute lessons will be arranged. Alternatively, you will be offered the option to attend another class that week.
3.7 In the event of a session being cancelled due to conditions out of our control, fees will be non-refundable. Substitute lessons may be arranged where applicable.
3.8 All unattended lessons remain payable, including absences due to illness or failure to notify us of a cancellation, unless exceptional circumstances apply.
4. CLASS RULES 4.1. All students must wear their Moving Waves uniform during classes. This can be purchased through the online store on our website. We have a relaxed uniform policy which means students can still attend the class on occasions where they don't have their uniform.
4.2 Moving Waves branded merchandise items are available to order and can be used as a uniform alternative during classes.
4.3. Moving Waves aim to provide the very best training and experience. We implement fun and discipline to do this. Consistent unruly or aggressive behaviour will not be tolerated and could result in termination of class membership. We believe in teaching boundaries and setting a good example in line with our positive ethos to build our student’s confidence.
4.4. We have a strict anti-bullying policy in place and expect our students to always adhere to this.
5. SAFEGUARDING
5.1 All Moving Waves staff are safeguarding trained and DBS checked. Your child's safety and wellbeing is always our first priority, and we are committed to providing a safe, supportive environment for every student. Our designated safeguarding lead can be contacted at
info@movingwaves.org for any safeguarding concerns.
5.2 From time to time, it will be essential for physical contact to take place between the teacher and student/peers. We always encourage safe practice and support students in doing so.
5.3 No child under the age of 16 will be allowed to leave the building without a parent/guardian (unless arranged otherwise). Your child’s safety is paramount to us.
5.4 Promotional pictures and footage will be taken throughout the year during classes and at our end-of-year stage show. This type of media is only used on a professional capacity for marketing purposes, on our social media and/or website.
5.5 Moving Waves commits to not using such media in any way that might be harmful towards our students.
5.6 By attending our classes you agree for your child to be featured in our media. We will require a written request if you do NOT wish for your child to take part.
The above policies exist to safeguard the well-being of our students and to ensure that the good reputation of Moving Waves continue to be associated with high quality teaching and enjoyment of classes.
Moving Waves reserves the right to refuse entry to classes if these rules are not complied with. We will review and amend policies on a regular basis and we advise parents and guardians to read this document thoroughly to ensure a clear understanding is gained.
